Information on Uploading a File to DataHub [DataHub Feature]

This document walks through a feature of our centralized data management system, DataHub. To learn more about DataHub, click here.

Building your File:
  • Each file should have a unique student identifier - Edcite already has the student ID # shared if using Clever so this is easiest.

    • If you are pulling a file that requires using state ID #, please upload a mapping file with the two ids for each student

  • What fields / columns are useful to you for a given assessment / category of data? 

    • Example 1 - If looking at state test data, do you care about scaled scores only?, are overall performance levels important? Do you want to look at domain level data for the state test? Example State Test File

  • Whatever data are important should be included in the columns shared for a given file

    • Example 1 - If you want to filter by demographic groups, please send a demographic file. Example Demographic File

    • Example - for NWEA you might be assessing in Fall, Winter, Spring but just uploading Fall Data. If you want to make it easy to add data to the same table, just include that as a column (i.e. Assessment Period).  Example Interim Assessment File

  • Historical Data Uploads - if you want to generate accurate admin reports for historical data, you will need to include data that was accurate at the time of the assessment. Edcite has access to current rosters if you use Edcite Schools, but not historical roster data. 

    • Example - To see historical state test data by school, include a column for schoolName that indicates what school the student was at when assessed. 


Uploading your file:

  • Are you updating a table or uploading a new table? If updating, make sure you choose the right type of upload (adding new data vs. replacing old data and adding new). If uploading a new table, proceed. 

  • Review ALL the column data types to confirm they match your specifications and the points below

    • Student ID #’s - choose plain text as the data type.  DO NOT choose number types as they will drop leading 0’s. 

    • Binary Status Variables - choose plain text as the data type. This is common w/ demographic data. 

    • Dates - if format you want isn’t working, set as plain text.
